The Norwegian Forest Cat Club (“NFCC”, “we”, “us”) is an unincorporated association registered with the Governing Council of the Cat Fancy. This page explains what personal information we collect from members, visitors to our website, and people who contact us, what we do with it, and what rights you have under the UK General Data Protection Regulation and the Data Protection Act 2018.

1. Who we are and how to contact us

The data controller is the Committee of the Norwegian Forest Cat Club. Day-to-day responsibility for data-protection matters rests with the Secretary, who can be contacted at secretary@nfcc.example.uk or by post at:

2. What personal information we collect

We collect only the personal information we need to run the club. That is:

  • Membership data — name, postal address, email address, telephone number, membership tier, cattery prefix (if any), start date, renewal history.
  • Enquiries and correspondence — when you write to any of our officer addresses or fill in a form on this site, we retain the message and your reply-to details for as long as is necessary to handle the matter.
  • Show entries — exhibitors’ names, addresses, cats’ registered details, and results. Some of this information is made public in the Show catalogue and results.
  • Newsletter contributions — names of authors, and where relevant photograph credits.
  • Website data — basic, anonymised analytics (page views, country-level location). We do not use tracking cookies or third-party advertising cookies.

3. Why we collect it (lawful basis)

We process personal information under the following lawful bases:

  • Contract — to fulfil our obligations to you as a member of the club (sending the Forest Gazette, processing your show entries, etc.).
  • Legitimate interests — to administer the club, maintain our records, respond to your enquiries, and communicate with you about club business.
  • Consent — for the optional parts of our processing (for example, inclusion in the public Breeders’ Directory).
  • Legal obligation — to comply with GCCF and HMRC record-keeping requirements.

4. Who we share your information with

We keep your personal information within the club. We do not sell, rent or trade personal data with any third party. We share data with the following bodies only where necessary:

  • The Governing Council of the Cat Fancy (GCCF) — to meet our obligations as an affiliated club (e.g. show results, Committee composition).
  • Mailing houses — the Forest Gazette is mailed via a third-party print-and-post service, which holds members’ names and postal addresses for the sole purpose of dispatching the newsletter.
  • Our hosting and email providers — who process data on our behalf as processors under a written contract.

5. How long we keep it

Membership records are kept for as long as you are a member, plus six years after you cease to be a member (to cover the statutory accounts-retention period). Show entries are retained indefinitely as part of the club’s historical record. Website enquiries are deleted after twelve months if no ongoing matter remains.

6. Your rights

Under UK GDPR you have the right to:

  • be told what personal data we hold about you (a Subject Access Request);
  • have inaccurate data corrected;
  • ask us to erase your personal data where there is no continuing legitimate interest in keeping it;
  • restrict or object to our processing;
  • ask for your data to be provided to you in a portable electronic format;
  • withdraw consent at any time (where consent is the lawful basis);
  • complain to the Information Commissioner’s Office (ico.org.uk) if you believe we have mishandled your data.

To exercise any of these rights, please write to the Secretary at the address above. We will normally respond within one calendar month.

7. Cookies

This website uses only essential session cookies required for the site to function, plus an anonymous analytics cookie that counts page views. We do not use advertising, profiling, or cross-site tracking cookies.

8. Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last changed. Material changes are announced in the Forest Gazette.
